This guide offers comprehensive instructions for granting and revoking access permissions for staff. Follow the instructions closely to ensure a seamless operation and security within our premises.

1. Granting Access to Staff

Objective: Provide access permissions to staff for specific places and doors using various methods.

How to Use

  • Initiate the Form:
    • Launch the Grant Access form. The form will automatically set to accept new records.
  • Select Details:
    • From the dropdown, choose the
      – Employee Number (If not exist in the dropdown you can create it in HR Module)
      – Builing 
      – Floor Number
      – Space Name
      – Place Number
      – Any comments to clarefy the request status
      – Attachments to upload the form as reference
    • Note: When you update the place number, the form will refresh available doors.
  • Input Access Details:

    once you will fill all the detials including the place Number all the doors related to the place will be shown

     

    • choose the Door you want and the method(s) of access, such as Key, RFID, Keychain, etc.
    • Fillthe Assigning date
    • Add any additional details or comments as necessary.
  • Save & Confirm:
    • Press the Save button.
    • If you forgot to provide an EmployeeNo, a reminder will prompt you to do so.
    • Confirm your entries and the system will record them. A message box will notify you once the process is successful.
    • The system also maintains a log of all granted accesses for reference.

2. Revoking Access from Staff

Objective: To withdraw access permissions previously granted to staff.

How to use ?

  1. Open the Form:
    • Start by launching the Revoke Access form.
  2. Search for Employee:
    • In the main form, search for the employee using the Employee Number. The subform will then populate with all the doors the employee has access to.
  3. Review Access Details:
    • Review the details displayed in the subform. This will showcase all the doors and access methods granted to the employee.
  4. Choose Door & Revoke:
    • Locate the door you want to revoke access to.
    • Click on the button corresponding to that specific door. This action will open a form for the chosen door.
    • the new form will be open with the current door data, confirm the revocation and ensure that any physical access tools (like keys or cards) are returned, or digital access methods (like passwords or fingerprints) are deleted from the system.
    • you can also delete any doors by using the red button in the subform
    • Click revoke Now to relase the staff access from the door.
  5. Confirmation:
    • Once you revoke the access, the system will update its records. Ensure the employee no longer has access by checking the system logs or conducting a physical test if necessary. N

Conclusion

Regularly review access permissions to maintain the security integrity of our premises. Make sure to update access records promptly when staff roles change, or when there’s a need to limit or expand their access areas. Always consult the system administrator for complex issues or further clarifications.
