Overview

The Item History Tracker is a powerful tool that provides detailed insights into an item’s lifecycle in the system, such as tracking the purchase, consumption, and transfer of SOS Sugar 5KG. The tool is designed to offer comprehensive reports and allows for efficient item search and tracking. It also enables users to export item reports to an Excel file for further analysis.

Tracking an Item: Step by Step

  1. Navigate to the Commercial Module main menu.
  2. Click the “Item History” button.
  3. Find the item you want to track. You have two options for this:
    • Select the item category (like Grocery), then the item subcategory (like Sugar), and choose the item from the dropdown menu.
    • Insert the SAP Number in the SAP Number field, then select the item from the dropdown menu.
  4. Once you’ve selected the item, all related transactions, current quantity, and Current Cost Average will be displayed.
  5. You can filter the results by a specific period.
  6. Click ‘Export to Excel’ to export the report to an Excel file.
  7. Click ‘Reset Filter’ to remove all filter criteria.

Reading the Item History Report

  • Item: The item name.
  • Quantity: The quantity of the item used in each order, regardless of order type.
  • Record Type: The type of order (Consumption, Delivery, Transfer).
  • Transaction Date: The date the transaction was created.
  • Running Total: The total quantity of the item and how the quantity changed. A normal number indicates an increase (Delivery), and a negative number (-1) represents a decrease (Consumption).

The transactions are sorted chronologically, with the oldest transactions at the top.
