Delivery Overview

When a purchase request is made, it is followed by the delivery of the requested items. These items are assigned to a designated store and tracked until all pending items are delivered. Our system allows users to:

  • Receive multiple items from various suppliers at once.
  • Update the quantities of the items in the stores.
  • Calculate the items received in single quantities according to the delivered quantities.
  • Calculate the item cost average every time a delivery is received.
  • Receive a delivery completed or partially for each item.

Understanding Cost Average

Cost Average, also known as Average Cost, is an important financial metric used by businesses to gauge their overall expenditure on inventory. It’s calculated by dividing the total cost of goods sold (COGS) by the total number of items consumed.

iClicka is trained to calculate the cost average automatically after every delivery. The total cost of goods available for consumption is considered every time a delivery is received. The system then updates the inventory to reflect the new quantities and recalculates the cost average. By consistently updating the cost average, iClicka offers an accurate representation of inventory cost at any given time, allowing for informed financial decision-making and inventory management.

Cost Average Calculation Examples

Let’s walk through the calculations step-by-step:

  • Example 1: Sugar Bag 5KG

Current store quantity : 3 bags

Current store price per bag: 100 QR

New delivery: 10 bags

Price per bag in the new delivery: 50 QR

Total cost of sugar bags in the store = 3 bags * 100 QR/bag = 300 QR

Total cost of new delivery = 10 bags * 50 QR/bag = 500 QR

Total cost of all sugar bags = 300 QR + 500 QR = 800 QR

Total quantity of sugar bags = 3 bags + 10 bags = 13 bags

Cost average = 800 QR / 13 bags = approximately 61.54 QR/bag

  • Example 2: Blue Pen Packet (12 pens per packet)

Current store quantity: 50 packets 

Current store price per packet: 2 QR 

New delivery: 50 packets

Price per packet in the new delivery: 1 QR

Total cost of blue pen packets in the store = 50 packets * 2 QR/packet = 100 QR

Total cost of new delivery = 50 packets * 1 QR/packet = 50 QR

Total cost of all blue pen packets = 100 QR + 50 QR = 150 QR

Total quantity of blue pen packets = 50 packets + 50 packets = 100 packets

Cost average = 150 QR / 100 packets = 1.5 QR/packet

Make a New Delivery Step by Step

  • Navigate to the Commercial Module Main Menu.
  • Click on “Delivery Management”.
  • Choose the PR ID from the dropdown menu.
  • Insert the Delivery Date.
  • Choose the store for delivery.
  • For each item you want to deliver, choose the supplier name from the dropdown menu and insert the delivered quantity in the ReceivedQTY field.
  • Add the item price as per the LPO issued.
  • Click Save to complete this delivery.

How to Make a Partial Delivery

There are two methods to find your original delivery:

  • Method 1
    • Navigate to the Commercial Module Main Menu.
    • Click on “Modify PR”.
    • Filter the PRs to show only pending requests.
    • Find your PR and click Delivery.
  • Method 2
    • Navigate to the Commercial Module Main Menu.
    • Click on “Delivery Management”.
    • Choose the PR ID from the dropdown menu.

Then:

  • Check the items you want to deliver.
  • Add the ReceivedQTY.
  • If there’s a new item not received yet in the first delivery, you can deliver it also by following the “How to make a new Delivery Step By Step”.
  • Click Save to complete the delivery.

Track the Deliveries Status

  • Navigate to the Commercial Module Main Menu.
  • Click on “Delivery Manager”.
  • Filter the deliveries by status.

Status descriptions:

  • Pending: PR created but no deliveries yet.

  • Partial: Some items were delivered, waiting to complete the delivery.

  • Completed: The delivery is completed and all items received.

  • Click Delivery to open the delivery details and check the missing items.

  • Contact the commercial department or supplier to request an update.
