SIM Card Request Procedure

The SIM Card Request Procedure allows users to create requests for SIM cards and assign them to employees. Each SIM card is given a unique FormID, which is attached to the service number until the service is terminated.

When you receive the form from the requester with all the necessary signatures, follow the steps below to provide the staff member with a SIM card:

SIM Card Request Creation Steps:

Open the SIM Card module.

  1. Go to SIM Card Request.
  2. Enter the employee number of the requester. If you are requesting a SIM card for a new joiner, there is no need to create a new staff entry. Use the “New Employee” button to navigate directly.
  3. The requester’s information will be displayed to confirm their identity and ensure the correct employee number.
  4. Fill in the requested company.
  5. Choose the project to allocate the cost center. If the project does not exist, click on the “New Project” button. Make sure to obtain project information from the cost center team before creating a new project.
  6. Select the ISP vendor.
  7. Choose the ISP package name (the package benefits will be shown).
  8. We have included a grade checker function to verify if the employee’s grade is eligible for the selected package level. If the employee’s grade is not eligible, an exception can be made if there is a valid reason. Provide a full explanation, including the approver’s name and the reason for the exception. Then, click the agreement checkbox. If the grade is eligible, the staff grade will be highlighted in green.
  9. Choose the SIM type if you are requesting here are the SIM Card Types below
    A. GSM : the normal SIM Card for staff use 
    B. Internet : Has unlimited Internet units and no other functions like calling
    C. Tetra : or PTT, its only for the Radios (Walkie Talkie devices)
    D. GPS: for the fleet managment systems and Veichles tracking
  10. Enter the SIM Card Serial Number (Usually the ISP Vendors providing a blank SIM Cards and we will send them the Serial number of the SIM Cards to be activated remotely, so enter here the SIM card to link with the service number later and inform the ISP to activate through it)
  11. Enter the request date.
  12. Add any remarks related to this request.
  13. Click the “Save” button.

Once you have saved the request, you have two options to proceed. You can either create a letter using the “Create Letter” button within the form, or export the request to Excel and send it via email to the Internet Service Provider (ISP). To access the pending requests, you can use the “All Pending Requests” button located in the main menu of the SIM Card Module.

Next, you will need to wait for the ISP’s confirmation reply, which will include the mobile number associated with the request. Once you receive this confirmation, you can proceed to the second part of the request, which involves activating the line.

Note

Please write down the FORMID related to this request on the form and keep a copy with you to hand over the SIM card to the requester later.

SIM Card Request – Pending Orders and Approvals:

Assuming that you have received confirmation from the ISP that the request is complete and the SIM card is now active, you need to provide additional information to tag the request as active. Otherwise, the request will remain pending with a cost of 0.

SIM Card Request Activation Steps:

  1. Go to the SIM Card Module page.
  2. Select the counter shown on the SIM Card Request button. If the counter is not visible, you can click “Reload” at the top of the page.
  3. The SIM Card Non-Posted Checker form will open, displaying all pending requests.
  4. Find the Form ID of the request you want to activate and click the black button with three dots.
  5. The form will open, showing all the information you previously entered, along with two additional fields.
    a. Company Mobile No: Enter the mobile number provided by the ISP. This field is crucial, as all future searches and reports will be based on it. If the ISP did not provide a number, insert the SIM card into any mobile device and retrieve the number (please do not use temporary or fake numbers)
    b. Activation Date: Insert the date of activation, using either the date sent by the ISP or the date of the email confirmation received from the ISP.
  6. Add any additional comments related to this approval.
  7. Once you have filled in all the required information, click the “Post” button.

Posting the request will change its status to “Active” and initiate the charging of the package cost, thereby increasing the company’s total monthly bill.
